How we collect your data:

We collect data from you when you contact us via a contact form on the website and when you sign up to receive information and newsletters.

We also collect information about which of the pages you have viewed on the website to help improve the user experience.

What data we collect:

When you voluntarily sign up to our newsletters or email campaigns:

When you sign up for one of our newsletters or campaigns we will collect information like your email address and first and last name. This information will only be used to send you the information you have agreed to receive when registering.

When you fill in and submit one of our forms to provide with information about yourself or your company:

When you fill in one of our contact forms to provide us with information about yourself or your company, we will collect a variety of data to help us provide our services. By completing and submitting the form, you are confirming you would like us to contact you about our services.

Data retention:

How long will we use your information for?

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

In respect of client data, you can expect us to hold data for a period of seven years after completion of the last coaching interaction. The reason for this is that the Limitation Act 1980 typically provides that legal proceedings for breach of contract or negligence can be brought up to six years after the events. We therefore have a legitimate business interest in retaining the data should any subsequent legal proceedings ensue.

It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your working relationship with us.

Your rights in connection with personal information

Under certain circumstances, by law you have the right to:

  • Request access to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it.
  • Request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.
  • Request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us to continue to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below).
  • Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.
  • Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.
  • Request the transfer of your personal information to another party.

Please note that where you ask us to erase, correct, object to process or seek to restrict my processing of data we may refuse your request where we have a legal obligation, contractual or other legitimate business interest to refuse your request. If we refuse your request then we will notify you of this refusal and you will have the right to appeal.

No fee usually required

You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.

What we may need from you

We may need to request specific information from you to help confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.

When you visit our website

Cookies:

We receive non-personally identifiable information through cookies and log files when you access our website. Certain technical information such as your IP address, page views, operating systems, web browser software and referring destination website is automatically collected from your computer. Cookies allow us to statistically monitor how many people use our site and for what purpose. We do not link any information obtained from cookies or log files to personally identifiable information. You are free to decline cookies if your browser permits and it will not affect your online experience.

We will not share any user information outside of the EU.

Newsletters and marketing:

If you have signed up to our newsletter or one of campaigns or promotions, we will send you these via the email address you have provided.

Unsubscribing

If you would like to unsubscribe from any newsletter or campaign you can do this from any of the emails you have received. You will find the ‘unsubscribe’ link at the bottom of these emails. This will automatically remove you from that communication and no further action needs to be taken.

Your rights:

  • You have the right to be informed how your personal information is used and stored
  • You have the right to access your personal information we hold about you
  • You have the right to delete or request any information we hold about you
  • You have the right to stop any emails or marketing information we are sending you

In case of a security breach:

We have made all efforts to make sure our website is secure and monitored for possible data breaches.

In the unlikely event of a security breach where your data may have been compromised, we will endeavour to contact all users within 24 hours with details of the breach and if necessary what precautions they can take to protect themselves.

Any breach where we suspect a user’s data has been compromised will be reported to the ICO (Information Commissioner’s Office) within 72 hours.

Right to withdraw consent:

In the limited circumstances where you may have provided your consent to the collection, processing and transfer of your personal information for a specific purpose, you have the right to withdraw your consent for that specific processing at any time. To withdraw your consent, please contact admin@haddoncoaching.com. Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we have another legitimate basis for doing so in law.
